This Privacy Policy explains how Venue Trivia, trading as Venue Trivia (ABN 87 195 861 526) ("Venue Trivia", "we", "us", or "our") collects, uses, stores, and discloses your personal information when you use the Venue Trivia platform, website, and services (the "Service").

We are committed to handling your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using the Service, you consent to the collection and use of your information as described in this policy.

1 Information We Collect

1.1 We collect personal information that is reasonably necessary to provide the Service to you. The types of information we collect include:

Account information

  • (a) your name and email address;
  • (b) your account password (stored in encrypted form);
  • (c) your country and preferred currency.

Venue information

  • (a) venue name, address, suburb, state, and postcode;
  • (b) venue location data, including geographic coordinates and place identifiers obtained through mapping services;
  • (c) venue contact details such as phone number and email address.

Payment information

  • (a) we use a third-party payment processor (Stripe) to handle payments. We do not collect or store your full card details on our systems;
  • (b) we may retain records of transactions, such as amounts, dates, and the events to which payments relate, for accounting and tax purposes.

Content you provide

  • (a) quizzes, questions, answers, images, logos, and other materials you create or upload through the Service.

Technical and usage information

  • (a) your IP address, browser type, device information, and operating system;
  • (b) information about how you use the Service, including pages visited and features used;
  • (c) information collected through cookies and similar technologies (see clause 6).

2 How We Collect Information

2.1 We collect personal information directly from you when you create an account, set up a venue or event, make a payment, upload content, or contact us.

2.2 We also collect some information automatically when you use the Service, such as technical and usage information described above.

2.3 Where you provide us with personal information about another person (for example, a staff member you grant access to your account), you confirm that you are authorised to provide that information and that you have informed them of this policy.

3 How We Use Your Information

3.1 We use your personal information to:

  • (a) create and manage your account;
  • (b) provide, operate, and maintain the Service;
  • (c) process payments and issue receipts or invoices;
  • (d) display venue location information on maps within the Service;
  • (e) communicate with you about your account, events, and changes to the Service;
  • (f) provide customer support and respond to your enquiries;
  • (g) improve and develop the Service;
  • (h) comply with our legal and regulatory obligations.

3.2 We will only use your personal information for the purposes for which it was collected, or for related purposes you would reasonably expect, unless you consent otherwise or we are permitted or required by law.

4 Disclosure to Third Parties

4.1 We may disclose your personal information to third-party service providers who help us operate the Service, including:

  • (a) Stripe — for processing payments;
  • (b) Microsoft Azure — for cloud hosting and data storage;
  • (c) Google — for mapping and location services (such as Google Maps and Places);
  • (d) Xero — for accounting and invoicing;
  • (e) other providers who assist with email delivery, analytics, or technical infrastructure.

4.2 These providers are only permitted to use your personal information to perform services on our behalf, and are subject to their own privacy obligations.

4.3 We may also disclose your personal information where required or authorised by law, to enforce our Terms of Service, or to protect our rights, property, or safety, or that of others.

4.4 We do not sell your personal information to third parties.

5 Overseas Disclosure and Data Storage

5.1 Some of our third-party service providers (including Stripe, Microsoft Azure, and Google) may store or process personal information on servers located outside Australia.

5.2 Where personal information is disclosed or stored overseas, we take reasonable steps to ensure it is handled in accordance with the Australian Privacy Principles, but you acknowledge that overseas recipients may be subject to different data protection laws.

6 Cookies and Tracking

6.1 We use cookies and similar technologies to keep you logged in, remember your preferences, maintain security, and understand how the Service is used.

6.2 You can control or disable cookies through your browser settings. However, disabling cookies may affect your ability to use some features of the Service.

7 Data Security

7.1 We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. These include encryption of passwords, secure hosting, and restricted access controls.

10.1 If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact us using the details in clause 12. We will investigate and respond to your complaint within a reasonable time.

10.2 If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.

11 Changes to This Policy

11.1 We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through the Service. The "Last updated" date at the top of this policy indicates when it was last revised.

11.2 We expect to update this policy when we launch our mobile application, to reflect any additional information collected through it.
